Administrative Assistant

Job Description

Werba Property Management is looking for an Administrative Assistant to join our team.  This position works with our Property Managers as well as Maintenance and Sales Teams to execute the day-to-day operations of the office.  The Administrative Assistant is the first point of contact for all tenant concerns and maintains seamless flow of office operations and communications.  This role enables the entire organization to never skip a beat.

What You Will Do

  • Maintain and order necessary office supplies from appropriate vendors

  • Maintain up to date tenant contact information and documentation requirements

  • Prepare and distribute memos, notices, and other correspondence to tenants

  • Filter and direct all incoming emails and process tenant requests

  • Oversee daily property management and sales office operations

  • Create and maintain office promotional materials and displays

  • Process and verify deposits and vendor invoices

  • Participate in monthly property management team meetings

  • Receive and distribute incoming and outgoing mail

Who You Are

  • BA/BS degree or equivalent practical experience

  • 1-2 years of service experience with an emphasis on administrative, receptionist, property management, or equivalent office management experience

  • Articulate and polished communication style

  • Friendly, warm personality

  • Experience in providing administrative support in a professional work environment

  • Strong working knowledge of MS Office and Adobe Acrobat

  • Strong organizational skills, detail oriented

  • 2nd Language a plus: (Polish, Spanish) but not required

  • Demonstrated ability to quickly learn and master new software applications

  • Proactive, resourceful and ambitious

  • Experience at a property management company, real estate brokerage and/or family owned business is a plus
